Your Company Laptop Was Stolen – Now What? May 29, 2018
It’s another Tuesday in the airport, and you just cleared the TSA line and went to the pretzel shop for a quick bite before you catch your plane. You sit your laptop down to get a straw, and the next second…your laptop is gone. It’s not in sight, nor is the thief who stole it.
At first you’re confused, then the confusion starts to fade away and you realize that this wasn’t just a personal laptop. It was your work computer and had company files, sensitive information and access to company data that definitely doesn’t belong in anyone else’s hands.
But what do you do?
What To Do When You Can’t Find Your Stolen Laptop
Stolen Laptop Step 1: Get in touch with your IT team
Whether you outsource, have internal IT staff or a mixture of both, your first step is to alert your IT support teams of the incident. Time is critical on this.
Even if you have a password on your laptop, which will likely prevent the thief from immediately having access to your private documents. It won’t stop someone removing the hard drive from your laptop and connecting it to another computer. Suddenly your hard drive is sitting there, ready to browse – just like any other folder or drive letter.
Your IT Staff/Vendor should be installing encryption and remote management software on all remote devices. With proper encryption, your data is secure AND with remote management, your IT staff can wipe the stolen laptop before any damage is done.
Without this encryption software and remote management, you’d be forced to report any theft like this as a data breach. That means the government knows about it, your employees need to be made aware and worst of all – you have to alert clients.
This is why in this instance, you call your tech staff first.
Stolen Laptop Step 2: Contact the Police and file a report
The next best thing to do in situations like this is to immediately file a police report for the stolen laptop. Having a police case number can help with any insurance and/or recovery endeavors that come up. Plus, having a police report can help catch the criminal who stole your sensitive devices.
Stolen Laptop Step 3: Change Your Passwords
If you don’t have encryption and even if you do – it is smart to change passwords to all personal, professional and financial accounts. Additionally if you used this computer to pay bills, check banking information or for any type of financial transactions, you’ll want to make sure to check those accounts.
Stolen Laptop Step 4: Recover Your data on another device
This step also involves your IT staff/company. Hopefully you’re IT pros have all of your company data backed up and readily available. It is important that you synch your portable devices regularly so that in ANY incident of failure or theft, you can be restored quickly without too much interruption.
To make sure that you’re covered on this front, we’d suggest requesting regular tests of your backups anyway. That way, no matter the issue, you know your data is secured, backed up AND ready to deploy in an emergency or urgent situation.
There are many steps you’ll want to take after a theft occurs but with proactive IT support you won’t have nearly as many headaches to deal with.
These things happen more often than you’d think too.

So – take the following actions and get ahead of the issue before a stolen laptop happens.
- Find out if your company’s remote devices are encrypted with the ability to wipe all data on command
- Make sure that you train employees with remote devices not to leave them unattended and to lock them in the trunk of their cars instead of leaving them in a front or backseat.
- When travelling put your laptop on the TSA conveyer belt last – that way it is less likely to remain unattended.
- Look into your company backups and business continuity protocols.
- How often are they tested?
- How often are remote users synching and backing up data?
- How long will it take to restore a PC when you need it?

Before you hit the world wide web searching for DR solutions and backup plans, take a look at these 5 critical components any professional disaster recovery plan must have.
Your disaster recovery plan should consider appropriate business continuity variables.
Disasters happen; they come in many shapes and sizes. Server crashes, accidental file deletion, physical disasters such as fire or flood and the increasingly common ransomware or malware infection are all scenarios.
You must ask two important questions yourself in regards to business continuity:
- How much time can pass between recovery points, ie: how much data can you afford to lose; this is commonly known in Business Continuity as RPO – Recovery Point Objective
- How much time can pass between the disaster and recovery, ie: how much time can you afford to lose; this is commonly known in Business Continuity as RTO – Recovery Time Objective
Ideally, your RPO and RTO are as low as possible.
A good Disaster Recovery Plan will consider these factors and have various options for restoring files, folders or even whole servers. On top of that, it is important that these options take into account minimalizing data loss and interruption.
Data should be stored both locally and offsite.
Many people have an easy time seeing the value in the offsite backup. Whether that’s tape drives taken offsite daily, external USB drives treated the same, or data sent to the cloud for storage, it carries with it a feeling of great comfort knowing that “if the building burns down” the data is still safe.
What few realize is what we mean when we speak about downtime, for incidents that are not quite as catastrophic as a burning building. In those cases, it can take an unacceptable amount of time to get your hands on that offsite backup or to download an entire server from the cloud.
With a Disaster Recovery Plan option that offers backups both locally and offsite (cloud based), you are able to restore large quantities of files and entire server images quickly. Your onsite device should also have the capability to virtualize as a temporary server in the event your main server crashes.
Find a disaster recovery plan option that provides multiple restore options
When you think about restoring from a disaster, you may believe that so long as you have a version of your data somewhere, you are secure. In reality though, your recovery time objective can be greatly impacted by the different options available to you after a disaster. A disaster recovery plan with multiple options for virtualization, restoration and data access is an absolute must.
You may have heard the term “virtualization” before. Being able to virtualize your server either on a physical device at your location or in the cloud simply means that you have a temporary solution that will keep your business up and running while you resolve whatever issue corrupted your data, server or situation in the first place.
A catastrophic hardware failure can put your business down for hours, sometimes days. Rushing that process up can incur huge costs as well: rush delivery, emergency dispatch etc. In the event of a hardware failure, a virtual copy of your last backup can be spun up. Once completed, you can resume working swiftly. This quick recovery allows you to deal with hardware replacements, scheduling and budgets in an organized fashion.
A top tier solution will provide you with onsite virtualization and an option to virtualize in the cloud. Cloud virtualization is not as quick and can produce some lag time. Nonetheless, in the event your backups are stolen or disaster strikes your building (fire, flood etc.) – the ability to spin up and virtualize data from the cloud means that your business is not at a standstill.
Find out what type of support a vendor provides for disaster recovery plans.
Your company does not want to struggle to get their files restored. You can’t wait hours and hours to restore a file you accidentally deleted. Don’t wait for hours to hear back on the status of a data restore. Your IT partner should understand the solution they are providing and be able to work with you directly. Cut out the intermediary. Ensure your vendor monitors all the warranties, all the software support calls, and all monitoring; ensuring your backups are humming all day every day – as they should be.
Don’t trust just any business continuity or disaster recovery plan solution.
There are literally hundreds of options out there for Disaster Recovery. A quick Google search will give you pages of results. Comparing them is mind numbing, and if we are being honest . . . who takes the time to do all that? Your first step is to find an IT partner that you trust. Check their references. See if they have case studies to show how a disaster recovery functions with the product. Ask for a demonstration of the product. This is serious stuff and you need to trust the hands maintaining and protecting your data.

Apple's latest iOS release contained a feature that wowed and excited its massive user base.� Group FaceTime.� It was heralded as 'the next Big Thing' in the Apple ecosystem.
Unfortunately, there are problems, and the company has been forced to temporarily disable the feature while they wrestle with a major security flaw.
A bug in the code allows anyone to add themselves to a FaceTime call before the recipient picks up, which fools the app into thinking it's an active call, which in turn, forces the person you're actually calling to start transmitting audio.
To their credit, Apple responded to the discovery of the flaw very quickly.� As of now, the service has been disabled on the server side while they dig more deeply into the issue to find a permanent fix.� Early estimates are that Apple will have a fix ready to roll out by next week, so it's possible that by the time you read this article, the fix will already be in.
In any case, if you use Apple FaceTime, the company is recommending two practical steps to make sure you're not being spied on:
First, check to see if the update is ready.� If so, by all means, install it immediately.� If it's not ready yet, the second step is to go into your iOS settings and disable FaceTime altogether.� Note that if you're using FaceTime on a Mac, you can disable it by opening the app, selecting 'Preferences,' then un-checking the box labeled 'Enable this Account.'
The problem was serious enough that it even prompted New York governor Andrew Cuomo to issue a consumer alert last week, warning residents to disable the app and urging Apple to fix the issue immediately.
Given how important this feature is to the company, you can bet that they'll have the issue resolved quickly.� We just hope that the company doesn't discover additional flaws in the weeks and months ahead.
