3 Benefits For Upgrading Your Phone System to VoIP In Less Than Two Minutes

We wanted to bring you something a bit new this month for our telecom blog. See below for a 2 minute video clip on 3 Benefits For Upgrading Your Phone System to VoIP. (Full transcript below)

Technology and the way we communicate with people has changed leaps and bounds over the last ten years. In business today, staying connected is no longer a luxury but is an expectation to meet goals and drive success.

Why Upgrade Your Phone System to VoIP, Voice Over Internet Protocol?

Let’s look at 3 major benefits of upgrading your phone system to VoIP (Voice over Internet Protocol).

  1. Lower overall cost than a traditional phone system – VoIP greatly reduces calling costs. Whether you make long distance/international calls, have multiple locations or make lots of calls locally. VoIP can utilize the internet and new phone services to transport calls while saving you money.
  2. Mobility – many new voice over internet protocol systems have the ability to integrate with mobile solutions, to provide consistent availability and access no matter where a user is located. What does this mean? Users no longer remain tethered to an office desk phone and become reachable whether they are on the go, remote or outside of the office.
  3. Feature rich communicationsVoIP phone systems allow for a much broader range of features then a traditional phone system provides. For this reason, total cost of ownership is significantly lowered. Features such as integrated fax, voicemail to email, click to call, “find-me-follow-me”, video conference calling as well as user presence remain easily available through feature enhancements rather than hardware add-ons previously required in the past.

If you have been thinking about upgrading your phone system or interested in lowering your business costs, call us. One of our team members can assess your current situation and often times, the phone system and features you are looking for can easily be financed through the cost savings VoIP offers alone.

Why Good Camera Systems Need Great IT Pros

Would you be OK with a criminal or competitor watching you and your office via your own CCTV security cameras . . . ?

Didn’t think so.

Security and camera systems, like many other technologies, are becoming more and more integrated within IT networks and infrastructure. This is great for ease of use, capabilities and increased protections. However, it can also open up additional avenues and risks for your company if managed incorrectly.

Imagine all the information someone could snag with limited access to your CCTV system.

You wouldn’t trust your IT to “some guy” (at least we hope not).  You should give the same respect to your security systems. It may be a good idea to buy a system from Costco or Amazon. But those off brand systems are easily hacked and they may carry pre-installed malware. Just last year a slew of security camera systems purchased on Amazon were found to be infected and could be hijacked by hackers to access data and camera footage illegally.

In almost all cases, some part of your security camera system needs an IT professional involved to finish the job and configured correctly. You can either trust the camera guy as he fumbles his way around your network, potentially leaving easily accessed holes in your protection, or try to get the camera guy and your IT guy to coordinate and work together (what we call a scheduling nightmare). Or, you can hire a professional technology services firm that does both.

4 Reasons WordPress Is The Better Choice For Your Professional Website

Times, they are a-changin. When the internet first came ”online” (pun intended) over 20 years ago – websites were a luxury for most businesses. Now in 2017 – they are a necessity. With the world wide web at your fingertips (literally), it’s more important than ever to have a website as a marketing tool for your growing business. With all the choices available – it may be tempting to build a website yourself with proprietary website groups like Wix. However, using for-profit website builders can be costly and have a negative impact on your website down the line. For businesses that truly want a professional website that meets all best practices – traditional based content management systems (cms) like WordPress are the way to go. Let’s dive into a few reasons why:

Reasons To Choose WordPress over Wix

  1. Ads – One of the biggest selling points for proprietary sites is that they are less expensive. Which is great if you are on a budget; however, the less you pay the less you control what content displays on your website. Proprietary sites make revenue on their cheaper packages by allowing advertisements to display on your website. Do you really want your website designer or template creator choosing what ads display on your site? Do you want ads on your site at all? WordPress gives you the control over what content displays on your site. Make sure before engaging in any design for a website, you cover protocol and expectations for ads and content control.
  2. Customization/add-ons – Customization can be pricey. When you purchase a base package or template from a source like Wix, you run the risk of costly add ons adding up (pun intended). Most out-of-the-box templates on Wix do not support ecommerce or SEO. This means add ons need to be purchased in order for your basic functionality. Additionally, you only have access to two levels of pages. This can jeopardize your entire site if mishandled. These templates are also difficult to change. Most companies will not allow you to customize the base template. WordPress on the other hand allows for customization, add ons and SEO. It also plays very well with thousands of plug ins that add nifty functions and unique flare to your site.
  3. SEO (Search Engine Optimization)– As stated in the previous point, SEO is not included with most Wix or other proprietary sites unless you pay extra each month. Much of SEO is about keywords and URL selection. With WordPress – you have the ability to customize urls as you see fit. Additionally, there are free SEO plugins that allow you to dive even further into analytics/SEO without incurring additional cost.
  4. Ownership – This is the most important reason to go with WordPress over a Wix site. With proprietary sites – you don’t actually own your domain or your website. The company you purchase from owns all of that. if you want to start something new or change platforms – your domain and your website is the property of Wix. With WordPress – you own your own domain and you own your content. This will allow you to make changes and updates to your overall look and digital marketing as you see fit. It is yours!

Overall, while Wix and other companies like it offer a quick, cheap way to get a website for your business, the cheapest route is rarely going to get you where you want to be. Choosing a cms site like WordPress allows you creativity, ownership, optimization and plug-in-play action you need. Network Security Assessment – The Single Most Important Cyber Security Tool You Are Neglecting Every Year

Why you should have a network security assessment at least once per year

Let’s face it – our digital world is under constant attack and your corporate network is one of the biggest targets out there.  Why?  Because it also tends to be an easy mark.  Year after year we see large scale attacks against corporations, but did you know that the majority of cyber incidents occur against small business? Ask yourself, when was the last time you had a professional network security assessment? We’d like to share why assessments are an important piece of the multi-layered approach to cyber security for your business.

Let’s start by stating something that you might not expect a tech company to express.  At some point, your network and computer systems WILL BE breached by some type of cyber attack.  No amount of effort or software can protect you 100%.  The key is to take as many steps as you can to make it less likely you will be hacked or more realistically, take as many steps to ensure that a breach can do no real or sustainable harm to your business. No approach on the market can guarantee you will never be breached and if you run into an IT firm or product that tries to make this guarantee . . . run for the hills because it just “ain’t” true.

Now, there are the obvious steps that you can take to protect yourself and make it harder on the criminals:

  • good Email habits
  • anti-malware software
  • firewalls
  • employee training
  • a professional Disaster Recover (DR) plan/device

However, there is another tool in the arsenal that you should use regularly and that is an annual (at minimum) Network Security Assessment.

How Is A Network Security Assessment Done?

Your IT support company can do an assessment; they should then give you a risk report displaying areas that need to be tightened up.  If your IT company does not perform these, it may be time to start looking into someone new. Cyber threats are more prevalent every day and it is important to partner with an IT company that recognizes this and protects your business accordingly.

We find that our assessment usually uncovers security threats and holes; even when a business has the right practices and has done their research. Cyber security is a daily battle. When we run our assessment we use the results to constantly improve the defenses of our clients. And that is why, like most things in tech, an assessment should be a regular event.

The Network Security Assessment Is Done. What’s Next?

The network security assessment itself is not the only thing to request though. It is equally important to make sure that your firm supplies you with a report of their findings. This report should be simple to understand, contain an overall score and give you a breakdown of each issue found, along with how serious those specific issues are.  Ask for an action plan detailing fixes for any issues that are found. Why go through the assessment if you aren’t going to DO anything with the data?

How important and helpful are these reports?  We are an IT company with a background protecting our partners from risk, we place protections in place for our partners and still find ways to improve our customer cyber safety every time we run an assessment.

Why?  Because cyber security is a dynamic, ever changing landscape and you need to proactively search for issues. Don’t let yourself learn the hard way. You never want to discover there is a hole in your cyber security by way of an attack or breach.
